By registering as a vendor for the NEANN 2025 Conference, you agree to comply with the terms and conditions outlined in this document. Failure to adhere to these terms may result in termination of your vendor participation without refund.

By registering as a vendor for the NEANN 2025 Conference, you agree to comply with the terms and conditions outlined in this document. Failure to adhere to these terms may result in termination of your vendor participation without refund.
2. Event Details
- Dates & Location: The NEANN 2025 Conference will take place on May 4–5, 2025, at the Mystic Marriott Hotel & Spa, Mystic, CT.
- Vendor Hall Hours:
▪ Monday, May 5: Registration opens at 7:00 AM, sessions run from 8:00 AM–5:00 PM.
3. Payment and Fees
All vendor fees are non-refundable, including but not limited to cancellations or postponements due to acts of God, pandemics, or other unforeseen events. Fees include the items specified in your support level package (e.g., table space, registrations). Additional services, such as electricity, may incur extra fees.
4. Booth Assignment
Booth locations will be assigned by NEANN based on sponsorship level and availability. NEANN reserves the right to modify booth assignments at its discretion.
5. Cancellation and Rescheduling Policy
In the event of conference cancellation or rescheduling due to unforeseen circumstances, NEANN will make every effort to notify vendors promptly and provide alternative participation options. Refunds will not be issued under any circumstances.
6. Vendor Responsibilities
Vendors are responsible for setting up and dismantling their booths within the designated timeframes. Vendors must ensure their exhibits do not obstruct aisles or infringe on neighboring booth spaces. Any damages caused by vendors to the venue property will be the sole responsibility of the vendor.
7. Electricity and Additional Needs
Electricity for booths is available for an additional fee. Please request this in advance to ensure availability.
8. Liability
NEANN, its affiliates, and the event venue are not responsible for any loss, theft, or damage to vendor property during the conference. Vendors are encouraged to secure their belongings appropriately. NEANN is not liable for personal injury incurred by vendors or their representatives during the event.
9. Marketing and Recognition
Vendors are encouraged to submit their marketing materials in accordance with the deadlines provided. NEANN reserves the right to approve or reject any marketing material for distribution or display. Marketing materials that use NEANN's logo require pre-approval or specific wording (which will be provided by NEANN) for vendors to post.

This agreement is governed by the laws of the State of Connecticut.
